Summary

The Library Assistant provides essential support to the Library and Knowledge Services team, working with them to ensure that everyone in the firm is equipped with the knowledge and resources required to complete their work to the highest possible standard.  This position is responsible for providing library materials to the firms US offices in a timely manner through the documentation, processing and distribution of print and electronic resources.

Essential Duties and Responsibilities 

  • Process, sort and route all incoming library mail, including creating and maintaining inventory control and distribution records in the integrated library system.
  • Maintain the print library collection, which includes shelving, circulating, shifting, weeding and relocating library materials as well as coordinating contract filer visits.
  • Prepare newly received materials for shelving or distribution.
  • Process and code invoices for review, approval and electronic filing.
  • Review vendor accounts monthly for outstanding issues and follow up as needed.
  • Coordinate with vendors to order missing material and complete book returns.
  • Support onboarding of new attorneys and staff and coordinate completion of departure checklists.
  • Provide support with training events for attorneys and staff.
  • Assist attorneys and staff by answering questions, retrieving and distributing materials, and making photocopies.
  • Work with other team members in the US and overseas offices.
  • Update team procedural and vendor contact files.
  • Contribute to and complete administrative and other projects as assigned.

Educational and Skill Requirements 

  • Bachelor's degree preferred, equivalent experience may be considered in lieu of degree.
  • Prior office experience required.
  • One year of related experience, preferably in a law library.
  • Basic familiarity with integrated library systems. Experience with Soutron a plus.
  • Basic familiarity with password management systems. Experience with Onelog a plus.
  • Consistent accuracy and attention to detail while maintaining a high level of productivity.
  • Invoice processing experience and proficiency with Microsoft Excel.
  • Proficiency in the use of standard PC applications, including Microsoft Office.
  • Strong IT skills, technical curiosity and ability to quickly learn new technologies.
  • Strong service orientation with commitment to outstanding customer service.
  • Skilled at using own initiative to find solutions to questions or problems and committed to seeing new projects through to completion.
  • Solid interpersonal, written and oral communication skills.
  • Able to communicate with people at all levels of seniority and understand the needs and sensitivities required to work within a global organization.
  • Ability to work independently as well as within a team.
  • Ability to operate copy machines and other standard office equipment.
  • Light lifting of books and other library materials is required.
